Your project manager is often the voice your clients hear most. When that person runs client calls, their communication matters as much as their organizational skills.

A US-based digital agency and creative studio needed to hire a remote project manager who could run client meetings, schedules and deliverables, on camera with US clients. In about five weeks, they hired a South Africa–based project manager with strong US client experience for $54,000 a year, below the $65,000 to $80,000 the same role costs in the US. A month in, the agency described the hire as great and "just as advertised."

Here's how we found a polished, client-ready project manager while keeping the role within budget.

The challenge: senior-level communication on a junior budget

The client is a US-based digital agency and creative studio with around 35 people, and a returning Retalent client. At the end of 2025, their VP and General Manager came back to hire a project manager who would run client meetings, schedules and deliverables across accounts, reporting to the COO.

Three things made the search tricky:
  • The communication bar was high. The role was on camera with US clients, so spoken English had to be crystal clear and easy for Americans to understand. That level of polish usually comes with senior, international experience. Yet the client wanted to keep a junior title and a budget of $3,500 to $4,800 a month, ideally at the low end.
  • The timing was tough. The search launched over the holidays, and the hiring manager was away for a week in mid-January.
  • The offer looked thin. The first draft listed few benefits, which risked putting off the experienced candidates the role needed.

The results: a close call between two great finalists

From kickoff after the holidays to a signed offer took about five weeks. The two finalists were so strong that the client called the final choice a very close call. They hired a South Africa–based project manager with strong US client experience at $4,500 a month, and planned to create a role for the runner-up.

A month into the role, the client described the hire as great and "just as advertised," and was already working with Retalent on its next hire. This was the agency's third search with us, after their first international hire and a senior AI developer.

4 lessons for hiring a client-facing project manager remotely

  1. Source where the communication fits. South Africa, Latin America and Southern Europe offer strong candidates with clear, US-friendly English.
  2. Benefits make a junior title attractive. Vacation days, a health plan and perks help a modest title compete for experienced people.
  3. Judge spoken English on video. A recorded interview shows exactly how a candidate will sound to your clients.
  4. Less noise, better decisions. Holding back weaker profiles kept the client focused on two finalists worth hiring.
